Village Properties Rental Terms and Conditions 

Thank you for booking your stay with Village Properties at Sunriver. As we get closer to your arrival, please keep an eye out for your Final Confirmation email, which will include your check-in instructions and keyless entry door code. 

Guest’s rental of the Property from Village Properties at Sunriver, LLC is made subject to the following terms and conditions. 

Third Party Booking Platform Terms and Conditions. If you booked your reservation on a third-party booking platform, to the extent that these Terms directly conflict with the terms and conditions of the third-party booking platform used to book your Reservation, the terms of the third-party booking platform shall control; provided, however, that the remainder of these Terms shall apply to the Reservation to the maximum extent possible. 

Credit Card Required. A VISA, Discover, American Express, or MasterCard is required as a guarantee that Guest will fulfill the Guest’s rental obligations. If Guest fails to perform any Guest obligation under this Agreement or otherwise breaches the terms of this Agreement, Guest authorizes Village Properties at Sunriver, LLC to charge Guest’s credit card for any necessary charges or damages. If the charges or damages exceed Guest’s credit limit, Guest will pay the difference immediately upon Village Properties at Sunriver, LLC request.

Rental Payment. If booking more than 30 days prior to your arrival date, a deposit of 10% of your total balance will be charged. Thirty days prior to your arrival, the remaining balance will be collected. If booking within 30 of your arrival, the total balance will be charged at the time your reservation is made. Payments may be made by credit card. We accept VISA, MasterCard, American Express, and Discover. 

Minimum Age. You must be at least 21 years of age to rent the property. You hereby confirm that you are at least 21 years of age. 

Guest inspection. Guest will, immediately on arrival, examine the Property and will immediately report any damage discovered and any equipment not in proper operating condition. If Guest fails to report any Property damage, Guest may be held responsible for any Property damage discovered after Guests occupancy. 

Traveler’s Insurance. Is always recommended to help protect your funds and offer you security should unexpected circumstances covered by insurance prevent you from enjoying your vacation. Please call our Vacation Rental Department if you would like to add travelers Insurance to your reservation (541) 593-1653. Please visit Redskyinsurance.com or call (866) 889-7409 for inquiries regarding coverage.  

Weather and Community Conditions. Village Properties at Sunriver, LLC will not provide any refunds due to the occurrence of any of the following non-exclusive events: (a) inclement weather; and/or (b) failure or closure of public utilities and/or recreational amenities (c) natural disasters. Village Properties at Sunriver, LLC does not make any representations and/or warranties concerning amenities provided by or through any homeowner associations, including, without limitation, pools, hot tubs, club houses, tennis courts, golf facilities, picnic areas, and bike paths.

Hazardous Conditions. Guest acknowledges that the property is in a mostly undeveloped and untamed wilderness area. As such, Guest acknowledges that certain hazards, dangers, animals, rodents, birds, reptiles, bugs, and insects that may be dangerous and/or cause damage, injury, illness, and/or death to person or property may be in, on, and/or surrounding the Property (individually and collectively, “Hazardous Condition(s)”). These Hazardous Conditions include, without limitation, cliffs, holes, brush, ponds, rivers, harmful plants, deer, coyotes, mountain lions, bears, elk, squirrels, mice, bats, rats, snakes, ants, spiders, skunks, and raccoons. Guest knowingly, freely, and expressly agrees to accept and assume risks concerning all Hazardous Conditions, whether known or unknown.

In furtherance of Guest’s obligations under guest inspection, Guest will, immediately upon arrival, examine the Property and immediately report any Hazardous Conditions located in, on, and/or surrounding the Property which may create an unsafe condition. Guest will not use the Property if an unsafe Hazardous Condition exists at the Property. Upon notice of the Hazardous Condition, Village Properties at Sunriver, LLC will inspect the Property and, if Village Properties at Sunriver, LLC determines an unsafe Hazardous Condition exists, Village Properties at Sunriver, LLC will make commercially reasonable efforts to address the unsafe Hazardous Condition.

Cancellation Policy. There is no cancellation fee if reservation is canceled within 24 hours of booking. If the reservation is canceled more than 30 days prior to your arrival date, a $100 cancellation fee is imposed, and the remainder of your deposit will be refunded. Cancelling a reservation within 30 days of arrival date will result in a full forfeiture of the entire rental cost. 

Office Location and Hours. Village Properties at Sunriver is in the Sunriver Business Park: 56835 Venture Lane, Suite 109. Our office is open 7 days a week from 8:00am to 5:00pm. We can be reached at 541-593-1653 during business hours. We are closed on Thanksgiving & Christmas day. If you have an after-hours emergency, please call us at 541-420-8017. 

Damages. Renting a home with Village Properties at Sunriver, LLC includes a damage waiver protection. The plan covers certain accidental damages up to $500.00. Damages above this amount, malicious damages, or damages because of intoxication or illegal activity will be charged to the credit card on file. Damages in excess of $500 to the rental home including, but not limited to, excess carpet spots, damage by pets, and/or a home that is left in unreasonable condition, are the financial responsibility of the registered guest. If damage is done during your stay, you must report it even if it is included in the damage waiver.  Guest will maintain the Property in a good and clean condition and will use the Property in a careful and lawful manner. Guest will not make any alterations in or to the Property, including, without limitation, moving furniture, paintings, rewiring or moving electronics (TVs, stereos, etc.), adding or changing locks, placing signs, displays, or exhibits, or using screws, fastening devices, nails, or adhesive materials. Guest will pay for any damage to the Property, including, without limitation, any necessary or appropriate maintenance and/or repairs required because of Guest’s damage to property, misuse of the property, or alterations made to the property. Guest will be responsible for any losses incurred due to Guest’s failure to properly secure the Property. Damage Waiver Coverage only applies to reservations booked directly through village-properties.com, not third-party platforms such as Airbnb, Vrbo, Booking.com, Expedia, Marriott homes and villas, etc. 

Pets. All Pets must be declared when reserving a vacation rental home as not every home allows pets. Pet-Free Properties. Subject to applicable Legal Requirements, pets are not permitted in, at, and/or around pet-free properties. If the Property is a pet-free property and a pet (that is not a service animal) is brought in, at, and/or around the Property, Guest will be in breach of this Agreement and Village Properties at Sunriver, LLC will bill the card on file $500.00 and may require Guest to immediately leave the Property (or, if Guest fails to leave, Guest will be removed from the Property) without refund. 

Pet-Friendly Properties. No pets, except dogs are allowed in a “pet-friendly” Property.  Subject to applicable Legal Requirements, dogs must be registered with the Company prior to arrival. A charge of $100 per dog, per stay is required, excluding service dogs (as defined by the ADA). Guest will comply with all applicable pet laws, ordinances, regulations, rules, and policies. Guest must clean and properly dispose of all pet waste. Fees will apply for damage done to the Property, excessive pet hair or dirt, or pet waste that is not removed prior to Guest’s departure.

Service Animals. Service animals protected by the ADA, but not emotional support (ESA), “companion”, or “comfort” animals, are permitted in all Village Properties at Sunriver, LLC homes (except in rare cases where the homeowner has received an exemption).  A service animal is defined by the ADA as a dog or miniature horse that has been individually trained to do work or perform tasks for an individual with a disability.  The task(s) performed by the dog or miniature horse must be directly related to the person’s disability. Please let us know when you or a member of your family will be accompanied by a service animal. 

Recreational Equipment. Any recreational equipment and accessories located on or at the Property (e.g., rafts, canoes, kayaks, paddleboards, floating tubes, bikes, non-motorized scooters, and related accessories and equipment (individually and collectively, “Recreational Gear”) are provided by the Property owner. Recreational Gear (whether provided by Contractor or the Property owner) is made available only for Guest’s recreational use during Guest’s scheduled reservation.

Guest’s use of the Recreational Gear may be dangerous and may result in injury or death. Guest’s use of the Recreational Gear will be done at Guest’s sole risk. Village Properties at Sunriver, LLC (and/or the Property owner) is not liable for, and makes no representations or warranties concerning, the quality or safety of Recreational Gear. Guest will use and operate the Recreational Gear safely, for its intended purposes, and with due care. Guest will observe and adhere to all applicable laws, rules, and regulations concerning the use and/or operation of the Recreational Gear, including, without limitation, (a) Oregon’s bicycle helmet law (which law requires any person less than 16 years of age riding a bike or when a passenger on a bike in any public place (e.g., streets, roads, sidewalks, parks, etc.) to wear bicycle helmets labeled ANSI and/or Snell approved), and/or (b) boating regulations and weight and capacity limitations. Guest is responsible for obtaining and wearing proper and legally compliant protective gear and safety devices and equipment, including, without limitation, helmets and US Coast Guard-approved personal floatation devices (as applicable).

Guest will examine and inspect the Recreational Gear prior to use or operation. Guest will immediately report any unsatisfactory Recreational Gear conditions to Village Properties at Sunriver, LLC. If Guest does not report any unsatisfactory Recreational Gear conditions to Village Properties at Sunriver, LLC prior to Guest’s use or operation of the Recreational Gear, Guest will be deemed to have inspected the Recreational Gear and found that the Recreational Gear is in good, safe, operable condition, suitable for Guest’s use and operation. Guest will not damage and/or destroy the Recreational Gear (and/or permit another to damage or destroy the Recreational Gear). Guest will pay and be responsible for any damage or destruction to the Recreational Gear. Guest will pay and be responsible for any lost and/or stolen Recreational Gear. Guest will ensure that the Recreational Gear is returned to the proper storage location at the Property at the end of Guest’s scheduled reservation. Guest will make no additions, improvements, modifications, adjustments, and/or alterations in or to the Recreational Gear of any kind or nature whatsoever.

Bikes. Any bikes and/or related equipment and accessories located on or at the Property are provided by the Property owner. The condition of the bikes is not guaranteed with any rental. All Bikes are made available only for Guest’s recreational use during Guest’s scheduled reservation. Guest’s use of the bikes may be dangerous and may result in injury or death. Guest’s use of the Bikes will be done at Guest’s sole risk. Village Properties is not liable for, and makes no representations or warranties concerning, the quality or safety of the Bikes. Guest will use and operate the Bikes safely, for their intended purpose, and with due care. Guest will observe and adhere to any and all applicable laws, rules, and regulations concerning the use and/or operation of the Bikes, including, without limitation, Oregon’s bicycle helmet law (which requires any person less than 16 years of age riding a bike or when a passenger on a bike in any public place (e.g., streets, roads, sidewalks, parks, etc.) to wear bicycle helmets labeled ANSI and/or Snell approved. Guest is responsible for obtaining and wearing proper and legally compliant bicycle helmets. Guest will examine and inspect the Bikes prior to operation. Guests will not damage and/or destroy the Bikes (and/or permit another to damage or destroy the Bikes). Guest will pay and be responsible for any damage or destruction to the Bikes. Guest will pay and be responsible for any lost and/or stolen Bikes. Guest will ensure that the Bikes are returned to their proper storage location at the Property at the end of Guest’s scheduled reservation. 

Hot Tub. If the Property contains a hot tub, Guest’s use of the hot tub is at Guest’s sole risk. Village Properties at Sunriver, LLC makes no representations or warranties concerning the condition and/or use of the hot tub. Guest is fully aware that the hot tub and surrounding patio/deck may be dangerous. Guest must be cautious when entering and exiting the hot tub. Guest is aware that use of the hot tub may result in injury or death. Guest will learn about safety precautions and safety procedures concerning sitting in or being around the hot tub. If, at any time, the hot tub looks cloudy or dirty, Guest will cease any further use of the hot tub and will call Village Properties at Sunriver, LLC immediately. A $25.00 per night refund will be issued for every 24 hours the hot tub is not working during Guest’s stay, if applicable. Any abuse or misuse of hot tub equipment, such as hot tub cover, cover lifter, head rests, skimmer, or chlorinator will result in abuse charge on the guest. $45.00 charge for hot tub to be dumped and refilled, and an additional $25.00 per night fee will be charged for each 24 hours that tub is down and causing incoming guest loss of tub use. You also understand that Village Properties at Sunriver does not manage the home’s hot tub and that all maintenance requests must be dispatched through the contracted hot tub company listed on the disclosure near the hot tub.

WAIVER, RELEASE, AND INDEMNIFICATION PROVISION)

Waiver, Release, and Indemnification. Guest acknowledges and agrees that use of the Property (including, without limitation, the Bikes and any other Equipment) bears certain risks and hazards which may result in injury, death, illness, and/or damage to Guest and/or third parties. GUEST HEREBY KNOWINGLY, FREELY, AND EXPRESSLY AGREES TO ACCEPT AND ASSUME ALL SUCH RISKS AND HAZARDS, WHETHER KNOWN OR UNKNOWN. TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, GUEST HEREBY KNOWINGLY AND VOLUNTARILY WAIVES, RELEASES, FOREVER DISCHARGES, AND AGREES TO DEFEND, INDEMNIFY, AND HOLD HARMLESS, VILLAGE PROPERTIES AT SUNRIVER LLC, CONTRACTOR, THE PROPERTY OWNER(S), AND ALL PRESENT AND FUTURE DIRECTORS, OFFICERS, SHAREHOLDERS, MEMBERS, MANAGERS, EMPLOYEES, AGENTS, ASSIGNEES, PARTNERS, CONTRACTORS, AND REPRESENTATIVES OF THE AFOREMENTIONED PARTIES (INDIVIDUALLY AND COLLECTIVELY “RELEASED PARTY(IES)”) FOR, FROM, AND AGAINST ANY AND ALL CLAIMS, ACTIONS, PROCEEDINGS, DAMAGES, LIABILITIES, INJURIES, LOSSES, AND EXPENSES OF EVERY KIND, WHETHER KNOWN OR UNKNOWN, WHETHER ARISING AT LAW OR IN EQUITY, INCLUDING, WITHOUT LIMITATION, ATTORNEY FEES AND COSTS (COLLECTIVELY “LIABILITIES”), RESULTING FROM OR ARISING OUT OF, WHETHER DIRECTLY OR INDIRECTLY, THE FOLLOWING: (a) ANY AND ALL LIABILITIES FOR WHICH GUEST MAY BE LIABLE TO OTHERS; (b) ANY DAMAGE, INJURY, ILLNESS, AND/OR DEATH TO PERSON; (c) ANY LOSS, THEFT, VANDALISM, DAMAGE, AND/OR DESTRUCTION TO THE PROPERTY; (d) ANY HAZARDOUS CONDITIONS; (e) ANY LIABILITIES WHICH MAY ARISE DIRECTLY OR INDIRECTLY IN CONNECTION WITH GUEST’S AND/OR ANY OTHER PERSON’S USE AND/OR OPERATION OF THE BIKES; (f) THE NEGLIGENCE OF ANY RELEASED PARTY; AND/OR (g) GUEST’S BREACH AND/OR FAILURE TO PERFORM ANY GUEST OBLIGATION UNDER THIS AGREEMENT. GUEST UNDERSTANDS AND AGREES THAT THIS WAIVER, RELEASE, AND INDEMNIFICATION PROVISION WILL EXTEND TO ALL CLAIMED WRONGFUL ACTS OF ANY RELEASED PARTY TO THE FULLEST EXTENT PERMITTED UNDER APPLICABLE LAW, INCLUDING, WITHOUT LIMITATION, THE NEGLIGENCE OF ANY RELEASED PARTY.

Smoke-Free Community and Property. No smoking, of any kind, is permitted on, at, or in any part of the Property and is prohibited throughout the Sunriver community. Fees will apply for any evidence of smoking on or around the Property. A $500.00 fine will be incurred for smoking inside the vacation home and/or garage. If it results in having to relocate a guest due to smell, you will be fined for the loss of revenue from that relocation. 

Noise and Disturbances. Guest will behave in a civilized manner and will be a good neighbor respecting the rights of surrounding property owners and guests. Guest will not disturb, annoy, endanger, and/or interfere with surrounding property owners and/or guests. Events of any kind are not permitted in or at the Property. If excessive noise or disturbances occur resulting in notification by police or neighbors, Guest will vacate the Property and will forfeit the reservation, and any monies paid. 

Relocation. If the Property becomes unavailable for Guest’s occupancy due to conditions beyond Village Properties at Sunriver LLC’s, control, Village properties at Sunriver LLC, will make a commercially reasonable effort to arrange a comparable rental property at no additional cost or expense to Guest. If Guest is unsatisfied with the comparable property Village Properties at Sunriver, LLC has identified or Village Properties at Sunriver, LLC is unable to locate a comparable rental property, Guest may cancel Guest’s reservation and receive a full refund of any amounts Guest paid for rental of the Property, including any deposits. 

Definitions. For purposes of this Vacation Rental and Confirmation Agreement (this “Agreement”), the term “Property” means the Property and any and all Equipment (as defined below); the term “Legal Regulation(s)” means any and all laws, statutes, ordinances, codes, regulations, orders, rules, covenants, conditions, bylaws, easements, declarations, leases, liens, and restrictions directly or indirectly affecting or concerning the Property and/or the Property’s use, renting, occupation, maintenance, ownership, and/or control; the term “Equipment” means any and all furniture, furnishings, appliances, televisions, Bikes (as defined below), the hot tub (if applicable), and all mechanical, electrical, gas, and plumbing fixtures and equipment located on or at the Property.

Reservation. By booking this reservation (the “Reservation”) to stay at the property identified in your Reservation Agreement (the “Property”), you agree to the following Terms & Conditions (the “Terms”). For the purposes of these Terms, any reference to “Company,” “we,” “us,” or “our” is a reference to the property manager Village Properties at Sunriver, LLC, acting solely as agent on behalf the owner and any reference to “Guest,” “you,” or “you’re” a reference to the party or parties that are making this Reservation. 

You agree that telephone calls made to our employees, operators, or staff may be monitored or recorded for purposes of quality assurance, training, security, or mutual protection. You further acknowledge there are security cameras in the communal areas of the Property, such as the exterior and building hallways, and we may also use noise monitoring systems. All properties will be listed as having security cameras, and locations of the cameras or noise monitoring systems will be disclosed prior to arrival. 

By providing your contact information and other personal information, you consent to receiving promotional e-mails and correspondence from the Company and its affiliates. You may request to be removed from our promotional lists at any time. 

Village Properties at Sunriver, LLC does not discriminate based on race, religion, color, national origin, sex, sexual orientation, veteran status, marital status, disability status, or any other applicable characteristics protected by law. 

Use of the Property. Your use of the Property is permitted only for personal and non-commercial purposes and only for the maximum number of occupants shown in your Reservation Agreement. If there are more inhabitants than the number of persons permitted to inhabit the Property as indicated on your Reservation Agreement, Guest shall pay Company an additional $1,000.00 per occupant or inhabitant per night, the payment or acceptance of which shall not be deemed a waiver of Company’s right to enforce the foregoing restrictions or be construed as a waiver of Guest’s default. In no event shall you have any right to renewal, extension, or recurring use of the Property without our express prior written consent, which may be withheld at our sole and absolute discretion. THE PROPERTY MAY ONLY BE USED FOR TRANSIENT OCCUPANCY. YOU REPRESENT AND WARRANT THAT YOU HAVE ANOTHER PERMANENT RESIDENCE AND ARE OCCUPYING THE PROPERTY ON A TRANSIENT BASIS ONLY AND INTEND TO DEPART THE PROPERTY ON THE DEPARTURE DATE SHOWN ON YOUR RESERVATION AGREEMENT. YOU WILL NOT BE GIVEN A MAILBOX KEY AND AGREE NOT TO RECEIVE ANY MAIL AT THE PROPERTY OR USE THE PROPERTY ADDRESS FOR IDENTIFICATION PURPOSES. ANY DELIVERIES RECEIVED AT THE PROPERTY WILL BE AT YOUR OWN RISK. 

Aquatic Passes for SHARC Admission. If the home has Recreation Plus SHARC passes, the passes will be found inside the home at the time of arrival. The Properties listing will indicate if the home includes SHARC passes or if the home is on the SHARC Reimbursement Program. Please check inside the home near the front door, in the kitchen, in the laundry room, or near the garage for these passes. If your rental does NOT have SHARC passes in the home, you’re eligible for our SHARC Reimbursement Program. Village Properties will reimburse you up to $250.00 per stay if you decide to visit SHARC. Please text, email, or bring your SHARC receipt to the Village Properties Office within 15 days (about 2 weeks) of purchase. If the home passes are not returned to the home on your departure, a $100.00 fee will be imposed per missing pass, and we will order new passes for the home on departure day. If your party needs to ship passes back to Village Properties, they need to be overnight via Fed Ex or UPS. SHARC is owned and operated by the Sunriver Homeowners Association. Please refer to their website for hours of operation. Village Properties at Sunriver, LLC does not own or operate the SHARC facility and is not responsible for their hours of operation, closures, etc. 

Caldera Springs Pool Passes. If your home is in Caldera Springs, it will include Caldera Springs pool passes to the Quarry Lake House seasonal pool owned and operated by the Caldera Springs HOA. The passes will be found in the home at the time of arrival hanging by the front door. Homes that are outside of Caldera Springs HOA will NOT have access to Caldera Springs Pool or Caldera Springs amenities. If the home passes are not returned to the home on your departure, a $100.00 fee will be imposed per missing pass, and we will order new passes for the home on departure day. If your party needs to ship passes back to Village Properties, they need to be overnight via Fed Ex or UPS. Perks Program. As a Village Properties guest at Sunriver, you have the option to participate in our VIP Experience. Guests can pick 3 exploration activities to do with their families, OR they can go to SHARC and be reimbursed up to $250.00 for the daily admission into the aquatic center SHARC. Contact the Front Desk to select your vacation perks. 541-593-1653  

Village Properties VIP Stay Perks. These are specials/discounts that are constantly available to guests who are staying with Village Properties regardless of what Selection Perks they chose when booking. These will mostly be discounts and freebies that are offered by local businesses. Many of these will be redeemed by showing a VIP card for each person who is part of the reservation, but this does not apply to all the perks. Please see each perk listing on our website for information about how to redeem the perk as a VIP. If a VIP Card is required to redeem the perk, have each group member who is redeeming it have a VIP card present, as the card is per person and not per group. VIP Cards will be placed in each vacation home prior to arrival. Each home will include enough VIP Cards for each guest to have one and will cover the total occupancy of the home. There is a $100.00 fee per card, if the VIP pass is not returned to home upon departure. We do not sell additional VIP passes for over occupants. 

Parking in Sunriver. Per the neighborhood HOA, campers/RVs can be parked at this home for no more than 48 hours (about 2 days) and cannot be used as overflow accommodations. Camper/RV storage may be available through the Sunriver Owners Association, which has two secure lots to rent space in. There is no roadside parking allowed in Sunriver. 

Linens. We take pride in providing high-quality towels and linens to our guests. Please note that excessive staining (such as make-up, blood, or oil) or missing linens could result in replacement costs incurred by you, the guest. 
 
Lost and found. Village Properties at Sunriver, LLC, is not responsible for lost and found items. Please check the unit carefully for personal items before your departure. If you leave items and it’s located by a Village Properties at Sunriver, LLC staff member, we can ship items back to you and bill you for the shipping costs. Our standard shipping fee is $25.00. If the cost exceeds the shipping costs, we will bill you accordingly. We will hold items for up to 30 days.  

Housekeeping Fee. All properties have a non-refundable housekeeping fee.  
 
Maximum Occupancy. The maximum number of guests per property is established per Deschutes County Code 5.12.020 & 5.12.060. Maximum occupancy limits are strictly enforced. If maximum occupancy is exceeded, you will be asked to vacate the property and forfeit any rental payment or rent additional accommodations. The regulation states two people per bedroom, plus two. Children 5-year-old or younger do not count towards your occupancy number.  

Maintenance & Repairs. Individual home amenities such as appliances, hot tub, washer/dryer, TVs, DVD players and furniture are subject to downtime for repair or maintenance. Should there be any concern with any items upon your arrival, please call our office. 

Right of Entry. You agree that Village Properties has the right to enter the Property and your guest rooms for security, maintenance, or any other purpose if necessary. 

Keyless Entry. A keyless entry code will be sent to you 72 hours prior to arrival via email. Please check your email inbox, for an email from Point Central. Sometimes these messages go into the spam folder. Upon your arrival in Sunriver, please call our office at 541-593-1653 to ensure that your home is ready for check-in. If it is, you can proceed directly to your vacation rental. When you arrive at the vacation home, enter the keyless entry code to open the door.Please print a copy of your confirmation, directions, or have it available on your smartphone prior to coming to Sunriver. Check-in starts at 4:30pm.

Check-In. Guest check-in starts at 4:30pm on your arrival date. Should your home be ready before that time, we will gladly allow you an earlier check-in upon request. Properties are not guaranteed to be ready at 4:30 pm especially during the busy holiday season (Thanksgiving, Christmas, New Years) and from June – September.Please call the Front Desk on the day of your arrival from the cell phone number that you will have on you. Once your home is ready for check-in, we would be happy to give you a call. 
  
Check-Out. Guest check out is 10:30am. Please vacate the home at or before this time so our housekeeping staff can prepare the home for the next guest. Upon your departure, please follow the checkout instructions inside the home. Upon exiting the home, press the checkout keys on the door. Please also call the front desk at 541-593-1653, or text 541-420-8017 to inform us you have departed. Please be sure to collect all your belongings prior to leaving the property.
  
Wi-Fi. Our homes have at least 100mbps of internet speed. Wi-Fi strength can vary throughout the house and in Sunriver. We recommend bringing an ethernet cable to utilize the fastest internet speeds. Sunriver’s internet can be unreliable at times, especially if there are a lot of guests on site. If having internet is important for you, we suggest bringing a back-up (i.e., mobile hot spot) Our internet is through TDS, and Village Properties at Sunriver, LLC, is not responsible for Wi-Fi outages and will not provide refunds for outages.  

Use of Amenities. Access to Amenities is not guaranteed and may be limited, revoked, or suspended.

Caldera Springs HOA Rules and Regulations. Occupancy of residences is limited to a maximum overnight occupancy of two persons per bedroom or sleeping loft, plus two additional persons. 

Parking Restrictions in Caldera Springs. Parking vehicles on and along streets within the Caldera Springs community is prohibited. Violators will be fined or towed. No more than one (1) vehicle per bedroom with a maximum of four (4) vehicles may be parked at a residence at any given time, and only in designated parking areas or in the driveway. Parking at a residence may be considered when arranged with the Owners Association more than 72 hours (about 3 days) prior to the event and with the appropriate signage. Motor homes, boats, trailers, tents, boat trailers, recreational vehicles, commercial vehicles, or other types of non-passenger vehicles or accessories may NOT be kept or stored at any home for more than 24 hours. This allotted timeframe is intended for loading and unloading purposes only. No temporary structures (including trailers, tents, or motor homes) may be occupied in Sunriver or Caldera Springs at any time. 

Noise and Disturbances in Caldera Springs. Guests shall not engage in any action which is disturbing to others, such as allowing their pet to create excessive noise, playing loud radios, stereos, televisions or musical instruments, loud conversing, or other activities that disturb the enjoyment of other residents and guests in Caldera Springs. All activities that may potentially create noise or disturbance to neighbors shall cease by 10:00 pm daily. Guests will behave civilly and will be good neighbors respecting the rights of surrounding property owners and guests. Guests will not disturb, annoy, endanger, and/or interfere with surrounding property owners and/or guests. Events of any kind are not permitted in or at the Property. If excessive noise or disturbances occur resulting in notification by police or neighbors, Guest will vacate the Property and will forfeit the reservation, and any monies paid.  

Pets in the Community in Caldera Springs. Pets must always be leashed outside of the house. Owners are solely responsible for their pet and shall ensure that pets do not create a nuisance or otherwise damage any portion of the property. Pet owners are responsible for cleaning up after their pet. Doggie bag stations are available at Ponderosa Park and Sable Rock Park and must be disposed of properly. 

Caldera Springs Entry Gates. Gate codes are required to enter the residential areas of the Caldera Springs Community. The rental guest access code is subject to change. Please check with your rental management company for your current gate code. Guests will receive their gate code from their property management company prior to arrival. Gates are closed 24/7. #2929 is the Gate Code to get into Caldera Springs if you want to drive around and look at Real estate. 

Construction in Caldera Springs. Caldera Springs is a growing community and there are several new homes under construction. Daily working hours for all construction sites are Monday through Friday from 7:00 AM – 7:00 PM PT and Saturday from 8:30 AM – 5:00 PM PT. 

Harper’s Outpost Picnic Pavilion. This outdoor picnic pavilion and its amenities are available for Caldera Springs owners only. No Guests.

Discharge of Weapons in Caldera Springs. The discharge of any weapon is prohibited. This restriction includes BB guns, pellet guns, and archery weapons. 

Fire Safety in Caldera Springs. Outdoor, wood-burning fire pits are prohibited in Caldera Springs. All fire pits are restricted to gas fueled fires only. Outdoor barbeques must have flames fully contained and not visible outside of the barbeque. Ash from barbeques may not be disposed of by dumping on the ground. They must be disposed of in a fire-safe manner. If hot embers remain in the ash, please place in ash can. Smoking cigarettes, cigars and pipes is not permitted on community communal area properties, which would include roads and pathways. Smoking on private properties must be done with great caution with burnt materials disposed of in ashtrays or other fireproof receptacles. The use of fireworks of any kind are prohibited in Sunriver and Caldera Springs. 

Bike Paths and Soft Walking Paths in Caldera Springs. Motorized vehicles are not allowed on the pathways, except for Segways and mobility tools for the disabled. Bikes are not allowed on the soft bark chip trails or off pavement. Bikes are only permitted on paved pathways and roads. 

Tennis Courts, Basketball Court, Discovery Playground and Ponderosa and Sable Rock Parks in Caldera Springs. You must always have your Caldera Springs rental access card on your person when using these facilities. Tennis racquets, pickle ball equipment, and basketballs are available for your use from Memorial Day to Labor Day and can be checked out from the Quarry Fitness Center desk. Anyone under the age of 14 must always be supervised by a responsible adult. 

The Quarry Pool and Fitness Center in Caldera Springs. This facility is for the exclusive use of owners, their accompanied guests, and guests renting a home or cabin in Caldera Springs only. You must always have your rental access card on your person while using these facilities. The doors automatically lock with no access available between midnight and 6:00 am PT. Your access card will not work during these hours. There are no lifeguards on duty. Anyone under the age of 14 must always be supervised by a responsible adult. The Quarry Pool is open from Memorial Day through the end of September. The Fitness Center, outdoor hot tubs, and the gas fire pit area are open year-round. The Quarry Pool and Fitness Center telephone number is 541-593-4850. NOTE: Each rental ID card provides access for 2 guests to use the Quarry Pool and Fitness Center. 

Caldera Lakes. The Caldera Lakes are for the exclusive use of owners, their accompanied guests and guests renting a home or cabin in Caldera Springs. You must always have your rental access card on your person when using the lakes. Please note the lakes are fly fishing ONLY for ages 12 and up. We require barbless hooks, and all fishing is catch and release to ensure the safety and preservation of our fish. Only approved small watercrafts are allowed in the lakes. The lakes are not intended for swimming. In winter months, please stay off the lakes as the ice that forms are unstable. No fishing is allowed on the dock. 

Caldera Links Course and Golf Park. The Caldera Links Course and Golf Park are owned and operated by Sunriver Resort. Use of the 9-hole Caldera Links Course is restricted to Sunriver Resort guests staying in Caldera Springs homes or cabins and Caldera Springs owners. Use of the 9-hole Golf Park is restricted to owners only and is not available for any guest use. All golfers must check in at the Lake House prior to playing. 

Boat and Bike Rental in Caldera Springs. The rental boats and bikes are owned and operated by Sunriver Resort. Use of the rental equipment is restricted to Sunriver Resort guests staying in Caldera Springs homes or cabins and Caldera Springs owners. Currently, Caldera Springs passes do not give access to guests of Village Properties staying at a Caldera home. Please call the Lake House concierge for details and hours of operation.  

The Lake House at Caldera Springs. The Lake House is owned and operated by Sunriver Resort and is available for Caldera Springs owners and guests. Activities at the Lake House include shuffleboard, pool table, board games, Wii, and wireless internet. Please call the Lake House concierge for hours of operation at 541-593-4851. 

Termination, Other Remedies and Consequences of Breach. To the maximum extent permitted by law, if guests violate any provision of these Terms or the House Rules, in addition to all our other rights and remedies we may have at law, in equity or pursuant to these Terms, you hereby agree that we have the right to terminate your reservation immediately and without notice and to remove you and your Invitees from any Property. In such an event, you will not be entitled to any refund of any amounts paid by you in connection with your reservation and will be fully liable for all claims and charges relating to your reservation. In addition, we reserve the right to exercise all rights and remedies afforded to us under applicable state innkeeper laws. 

With this agreement for the rental of a vacation home through Village Properties at Sunriver, LLC you are creating a binding agreement to rent the designated accommodation and are subject to the terms and conditions of this agreement as well as the Sunriver Homeowners Association Rules and Regulations or other property jurisdiction.   

Any exceptions to the Rental Terms and Conditions must be approved in advance and in writing by Village Properties at Sunriver, LLC management.
