Rental Terms & Conditions: In the event of program changes or circumstances beyond our control, Village Properties reserves the right to cancel or reassign units. Unit prices, availability and specific accommodations are subject to change. If this occurs we will contact you as soon as possible.
Minimum Night Requirements: Depending on time of year, rental homes and condominiums may adhere to a minimum night stay requirement. This is subject to change and minimum stays may be shortened or lengthened. Minimum nights are required for, but not limited to, the following time periods:
Thanksgiving - 3 night minimum
Christmas/New Year - 5 night minimum from 12/26 to 1/1
Martin Luther King weekend - 3 night minimum
President’s Day weekend - 3 night minimum
Memorial Day weekend - 3 night minimum
Labor Day weekend - 3 night minimum
Summer - 5 night minimum
Some individual homes and condominiums may require minimum night stays different to those posted. Homes and condominiums reserved online for less than the minimum number of nights may be cancelled or moved. If you wish to rent for less than the minimum number of nights required, please telephone our office (1-888-236-9690) and a reservationist will assist you in locating a property that may accommodate a shorter stay. For guests requesting 30 nights or longer, please call us at 1-888-236-9690, and a reservationist will be happy to assist you.
Cancellation Policy: For cancellations prior to 60 days of your arrival date, a $25 cancellation fee will be imposed. For cancellations within 60 days of your reservation, forfeiture of the entire rental fee is imposed. Please call 1-888-236-9690 for further information on cancellations and reservation changes.
Trip Insurance: CSA Travel Insurance is available when booking through Village Properties. We recommend you purchase this insurance to protect yourself should the unexpected happen and you must cancel your vacation last minute. Once you purchase CSA Travel Insurance there is a 10-day evaluation period during which you can read over the policy and receive a full refund of your purchase if you choose to decline the coverage. Security Deposits: Units sleeping 10 people or more require a security deposit. Most units sleeping 8 people or less (if paying by credit card) require no security deposit; we will hold your credit card number as a security deposit. All security deposits are to be paid prior to your arrival and will be refunded approximately 10-14 business days after your departure. Any damages to the home, its contents or carpet; any breach of rental agreement or violation of Sunriver rules; loss of keys, towels or linens; or excessive cleaning fees will be deducted from your security deposit and charged to your credit card after departure. If your security deposit was paid by credit card it will be refunded to your credit card, if it was paid by cash or check it will be refunded by check. The security deposit will be refunded only to the person named on the credit card or rental agreement.
Maximum Occupancy: The maximum number of guests per property is established per Deschutes County code 5.12.020 & 5.12.060©. Maximum occupancy limits are strictly enforced. If maximum occupancy is exceeded, you will be asked to vacate the property and forfeit any rental payment or rent additional accommodations. The regulation states two people per bedroom, plus two. Children 5 year old or younger do not count towards your occupancy number.
Rental Payment: Final payment is due 60 days prior to arrival. When booking online, the entire balance of your stay will be charged to your credit card at the time you make your reservation. Payments may be made by cash, personal check or credit card. We accept VISA, Master Card, American Express and Discover.
Housekeeping Fee: All properties have a non-refundable housekeeping fee.
Non-Smoking: Smoking is strictly prohibited in all homes.
Renter Age Restrictions: The guest of record must be 21 years of age or older. No reservations will be made for vacationing students or singles under the age of 25. Any reservation made under false pretenses will be subject to forfeiture of advance payment of rent and deposit, and the guests will not be permitted to check-in.
Pets: Pets are welcome in a limited number of homes and only with prior approval. The presence of a pet in a home without approval may result in the forfeiture of deposits and eviction from the home. Other restrictions may apply.
Maintenance & Repairs: Amenities & appliances, such as hot tubs, washers/dryers, TVs/DVD players etc, are subject to down time for repair or maintenance.
Taxes: A county/state room tax and recreation fee of 16% is collected on the total rent for each reservation. A county housekeeping tax of 7% is also added to your reservation.
Check In: Check in time begins at 4:30 PM. Should your home be ready before that time we will gladly allow you an earlier check in. Properties are not guaranteed to be ready at 4:30 PM.
Check Out: Check out time is 11:00 A.M. Unauthorized use of a property after 11:00 A.M. may result in a charge of $75.00 per hour.
By entering your information for the rental of a vacation home through Village Properties you are creating a binding agreement to rent the designated accommodations and are subject to the "Terms and Conditions" of this agreement. Any exceptions to the Rental Terms and Conditions must be approved in advance, and in writing, by Village Properties management.
